Reports to: Club Chair and Management Committee
Hours: Up to 23 hours per week, including evenings, weekends and bank holidays when required
Salary: Up to £18,500 per annum, depending on experience and agreed hours
Location: Ashington Rugby Football Club

Job Purpose

The Clubhouse Manager will oversee the effective day-to-day operation and development of Ashington RFC’s clubhouse.
The postholder will ensure that the clubhouse is welcoming, well maintained, commercially successful and operated safely. They will manage the Club’s function and catering operations, undertake occasional bar shifts and help develop sponsorship and other income-generating opportunities.
This is a varied, hands-on role requiring flexibility around rugby fixtures, private functions and clubhouse events.

Key Responsibilities

Clubhouse Operations

• Manage the day-to-day operation of the clubhouse and associated facilities.
• Act as a main operational point of contact for members, visitors, customers, suppliers and contractors.
• Ensure that the clubhouse is clean, safe, secure and presented to a consistently high standard.
• Coordinate opening and closing arrangements, including keys, alarms and building security.
• Ensure that rooms are prepared correctly for rugby fixtures, meetings, functions and other events.
• Monitor cleaning standards and coordinate staff, contractors or volunteers as required.
• Undertake general day-to-day upkeep and minor practical tasks within the scope of the role.
• Identify maintenance and repair requirements and report them promptly to the appropriate committee member.
• Obtain quotations and coordinate approved contractors when authorised to do so.
• Monitor equipment, utilities and supplies and identify opportunities to improve efficiency and control costs.
• Maintain an accurate clubhouse diary covering fixtures, functions, meetings and other activities.
• Provide regular operational updates to the Management Committee.


Functions and Events
• Develop and promote the clubhouse’s function offering to generate additional income.
• Identify opportunities to attract private parties, celebrations, meetings, community events and corporate bookings.
• Respond promptly and professionally to function enquiries.
• Conduct venue viewings and discuss customers’ requirements, including room setup, catering, bar service and equipment.
• Prepare function information and quotations in line with agreed Club pricing.
• Coordinate and run functions from initial enquiry through to completion.
• Ensure that deposits, hire charges and final balances are collected in accordance with Club procedures.
• Arrange staffing, room setup, catering, bar service and cleaning for each event.
• Provide clear instructions and handovers to staff and volunteers.
• Act as the main point of contact during functions and resolve operational issues.
• Follow up with customers, request feedback and encourage repeat bookings.
• Develop function packages and promotional materials in partnership with the committee.
• Monitor function income, costs and profitability.


Sponsorship and Commercial Development
• Identify and develop appropriate sponsorship opportunities for Ashington RFC.
• Work with the Management Committee to create sponsorship packages that reflect the Club’s assets and community reach.
• Approach suitable local and regional businesses to discuss potential partnerships.
• Build and maintain positive relationships with existing and prospective sponsors.
• Coordinate agreed sponsorship benefits, including signage, digital promotion, events, hospitality and other recognition.
• Ensure that sponsorship commitments are recorded and delivered consistently.
• Support the renewal of existing sponsorship agreements.
• Maintain an accurate record of sponsor contacts, conversations, agreements and renewal dates.
• Identify other appropriate commercial opportunities that could generate sustainable income for the Club.
• Provide regular updates to the committee on sponsorship activity, opportunities and income.
Catering Management
• Manage the catering team and coordinate catering for rugby fixtures, clubhouse functions and other events.
• Plan catering requirements with the team according to anticipated numbers, timings and customer requirements.
• Ensure menus and pricing are commercially appropriate and approved where required.
• Prepare fair and effective catering rotas.
• Ensure that suitable catering cover is available for fixtures, functions and major events.
• Supervise catering employees, casual staff and volunteers.
• Monitor food purchasing, stock levels, portion control, waste and profitability.
• Ensure that catering purchases are made through approved suppliers and within agreed budgets.
• Check that deliveries are accurate and stored correctly.
• Ensure that food-safety records, temperature checks, cleaning schedules, date labels and allergen information are completed correctly.
• Maintain high standards of cleanliness and organisation in the kitchen and food-storage areas.
• Ensure that equipment faults and food-safety concerns are reported immediately.
• Liaise with environmental health officers and other relevant authorities when required.
• Support the catering team during particularly busy periods where reasonably required..

Compliance and Safety

• Ensure that clubhouse activities comply with relevant licensing, food-safety, health and safety and safeguarding requirements.
• Complete and maintain appropriate checks, risk assessments and incident records.
• Ensure that fire exits, escape routes and emergency equipment remain accessible.
• Report accidents, incidents, near misses and safeguarding concerns promptly.
• Ensure that contractors and suppliers follow the Club’s site requirements.
• Maintain required records relating to cleaning, equipment, temperatures, training and compliance.
• Attend relevant training and maintain suitable qualifications for the role.

General Responsibilities

• Act as a visible and professional representative of Ashington RFC.
• Create a warm and welcoming environment for members, visiting teams, guests and customers.
• Work positively with players, coaches, volunteers, sponsors, suppliers and committee members.
• Maintain confidentiality regarding Club, employee and customer information.
• Work flexibly during busy rugby periods, major fixtures and functions.
• Carry out other reasonable clubhouse-management duties consistent with the role.

Person Specification

Essential
• Previous experience in hospitality, venue management, events, catering, licensed premises or a similar customer-facing environment.
• Experience supervising employees, casual staff or volunteers.
• Strong organisational and time-management skills.
• Experience coordinating functions or events.
• Good commercial awareness and an understanding of income and cost control.
• Confident communication, relationship-building and customer-service skills.
• Ability to work independently and make sensible operational decisions.
• A practical and proactive approach to maintaining facilities and resolving problems.
• Ability to manage competing priorities within part-time hours.
• Competence using email, spreadsheets, booking systems and electronic tills.
• Availability to work flexibly, including occasional evenings, weekends and bank holidays.
• A responsible and trustworthy approach to cash, stock and Club property.

Desirable
• Experience developing sponsorship or commercial partnerships.
• Existing relationships with businesses and organisations in Ashington or the wider Northumberland area.
• Experience promoting and selling function facilities.
• Experience managing a catering team.
• Personal Licence holder or willingness to obtain the qualification.
• Level 2 or Level 3 Food Safety qualification.
• First-aid and fire-safety training.
• Experience within a rugby club, sports club or member-led organisation.
• Experience monitoring budgets, margins and management information.

Working Arrangements

The role is for up to 23 hours per week. Working patterns will be agreed according to the Club’s fixture and function programme and will require flexibility.

The postholder will not be expected to cover every clubhouse opening or bar shift personally. However, occasional operational and bar cover will be required, particularly during busy periods or when alternative cover is unavailable.
The successful candidate will be expected to balance day-to-day clubhouse responsibilities with the commercial development of functions, sponsorship and other income-generating opportunities.
